- Check messages at fixed times each day instead of all day long.
- Triage in order: urgent complaints and buying questions first, praise and spam last.
- Build a small library of saved replies for your top questions and personalise each one.
- On Meta, standard messaging after a customer writes is limited to a window that is usually 24 hours.
- Move personal details and complaints from public comments to private messages.
- Use comment-to-DM for questions that repeat under the same post.
Why replies get slow
In most small businesses, slow replies are not a motivation problem. They come from three things: messages are spread across several apps, nobody knows who should answer, and the same questions are typed out from scratch every time. Fix those three and you will answer faster with less effort.
Fast replies matter because comments and messages are often people close to buying: "Do you have a free slot on Saturday?", "Do you ship to my city?", "How much is the package?" A late answer can mean a lost customer.
Set a daily routine
Checking notifications all day breaks your focus and still leaves gaps. A routine works better:
- Fixed check times. For example, mid-morning, after lunch and before closing. Pick times you can keep on busy days.
- One owner per day. In a team of two or three, decide who is on messages today. Others can help, but one person makes sure nothing is left.
- One place to look. Jumping between Instagram, Facebook, Google and LinkedIn is where messages get lost. Use a unified inbox, or at least a fixed order of apps.
- A clear "done" state. Each message is answered, passed to someone with a note, or deliberately ignored (spam). Nothing stays "seen but not handled".
Write your check times and owner in a shared note or in your content calendar, so everyone knows the plan.
Triage order
When you open the inbox, do not start at the top. Start with what costs the most if it waits:
- Complaints and problems. An unhappy customer in public comments needs a quick, calm first reply, even if the full solution comes later.
- Buying and booking questions. Availability, prices, delivery, opening hours. These are revenue.
- Messages with a time limit. Conversations where a platform window is about to close (see below).
- General questions. How a service works, recommendations, partnerships.
- Praise and reactions. A short thank-you or a like is enough.
- Spam. Hide, delete or report. Do not reply to suspicious links.
Saved replies that do not sound robotic
Look at the last month of messages and you will see the same ten questions again and again. Write a good answer to each one once and save it. Your website FAQ is a good starting point.
A useful saved reply has:
- A greeting with space for the person's name.
- The direct answer in the first sentence.
- One next step: a booking link, a phone number, or a question back.
- Your normal tone, the way you would say it at the counter.
| Common question | Saved reply idea |
|---|---|
| Price | The starting price, what it includes, and a link to the full price list |
| Availability | How to see free slots or book, and an offer to check a specific day |
| Location and parking | Address, a map link, and one practical tip |
| Delivery or shipping | Where you deliver, how long it takes, and where to find details |
| "Is this still available?" | A clear yes or no, plus how to order |
Always read the message before pasting. Adjust one detail so the reply clearly answers this person. A saved reply should save typing, not attention.
Know the response windows
Platforms limit when a business can message people. On Meta's platforms, these are the rules most small businesses run into:
- The standard messaging window. Meta's Messenger Platform policy overview explains that when a person messages your business, a standard messaging window opens in which you can reply. For most user actions it lasts 24 hours, and certain ads can extend it. Outside the window, sending is limited to specific cases such as message tags.
- Human Agent tag. The same page describes a Human Agent tag that lets a person on your team reply manually within a separate 7-day period. It is meant for real human support, not for promotions.
- Private replies to comments. Meta's Facebook private replies documentation and Instagram private replies documentation say a business can send one private message to a person who commented, within 7 days of the comment. On Instagram, follow-up messages can only be sent if the person responds, within 24 hours of their response.
The practical lesson: answer DMs on the same day, and do not leave buying questions until next week. These rules apply to messaging through Meta's tools and APIs; check the linked pages for the current details.
When to move public to private
Answer in public when the answer helps everyone who reads the post: opening hours, whether a product comes in another size, how to book. Public answers also show that you respond.
Move to private messages when:
- The person shares or needs to share personal details: phone, address, order number, health information.
- It is a complaint that needs back and forth. Reply publicly once ("Sorry to hear this, we have sent you a message to sort it out"), then continue in private.
- The answer depends on their situation, like a custom quote.
Never ask people to post personal details in a comment, and do not argue in public. A calm, short public reply followed by a private conversation is almost always the better path.
Comment-to-DM for repeated questions
If a post makes dozens of people comment "price?" or "link?", answering each one by hand is slow. A comment-to-DM automation sends a private message with the answer or link when someone comments a keyword, and can post a short public reply too. You can also invite this on purpose: "Comment GUIDE and we will send you the checklist."
Keep it useful: answer what was asked, keep the message short, and make sure a human checks the inbox for follow-up questions. Our Instagram comment-to-DM guide walks through the full setup. If you are comparing tools for this, see Moonya vs ManyChat.
Replying to reviews
Reviews on Google Business and Facebook are read by future customers, so your reply is for them as much as for the reviewer.
- Positive reviews: thank them by name and mention something specific from the review. Two sentences are enough.
- Negative reviews: apologise for the experience, do not argue the details in public, and offer a direct contact to fix it.
- Unfair or fake reviews: reply briefly and politely, then use the platform's reporting options.
Include reviews in your daily routine so they do not wait for weeks. For more on Google, read our guide to Google Business Profile posts.

FAQ
How fast should a small business reply to DMs?
Aim for the same day, during your fixed check times. On Meta platforms the standard window to reply after someone messages you is usually 24 hours, so waiting longer can limit what you can send.
What is the 24-hour messaging window?
It is the period after a person messages your business on Meta platforms during which you can reply normally. Meta says it lasts 24 hours for most user actions; outside it, messaging is limited to specific cases such as message tags.
Can I send a private message to someone who commented on my post?
Meta allows one private reply to a commenter within 7 days of the comment. On Instagram, further messages can only be sent if the person responds, within 24 hours of that response.
Are saved replies a bad idea?
No, as long as you read the message first and adjust the reply so it answers this person. They save typing, not attention.
Should I answer complaints in public?
Reply once in public with a short, calm apology and an offer to help, then continue in private messages where you can ask for details.
Which inbox items does Moonya cover?
Instagram and Facebook private messages, comments on Instagram, Facebook, LinkedIn, Threads, YouTube and X, and Facebook and Google Business reviews. Capabilities depend on each network.
