Instagram DM automation: a setup guide with ready-made flows

Instagram DM automation answers people the moment they ask, even when you are with a client. This guide is the practical part: how to plan triggers, which flows to build first, what to write in each message and how to stay inside Meta's rules.

By the Moonya team · · 8 min read

Key takeaways
  • Plan every automation as trigger, first message, link or answer, and optional follow-up.
  • Keyword triggers on comments are the safest starting point; build one flow per offer.
  • Meta allows one private reply per comment, within 7 days, and the conversation continues only if the person answers.
  • Write DMs like a helpful person: give what was asked for first, then one next step.
  • Test every flow from a second account and review the conversations it starts each week.

If you are new to the idea, start with our explainer on how comment-to-DM brings in clients. This guide assumes you know the basic mechanic and want to build flows that work.

The anatomy of a DM automation

Every automation, in every tool, is made of the same four parts:

  1. Trigger. What starts it: a keyword in a comment on one post, on any post, or on a Reel.
  2. Public reply (optional). A short answer under the comment such as "Sent you a DM". It shows others that the keyword works.
  3. Private message. The DM with what the person asked for: a link, a price list, a menu, a guide.
  4. Follow-up (optional). A second message later, only where the platform rules allow it, for example a reminder if the link was not opened and the person is still in an open conversation.

Write these four parts down on paper before you open any tool. If you cannot describe the flow in four short lines, it is too complicated.

Choosing triggers and keywords

One post or all posts

A trigger on one specific post is best for campaigns: a seasonal offer, a workshop, a free guide. A trigger on all posts is best for evergreen keywords like PRICE or BOOK that people may type anywhere.

Exact match or contains

"Contains" catches "price please" and "PRICE?", which is usually what you want. Use exact match only for short words that appear inside other words.

Good keywords

  • One short word, easy to spell on a phone: BOOK, MENU, GUIDE, QUOTE.
  • Not a word people use anyway. "Love" or "nice" will fire on every compliment.
  • One keyword per offer, so each person gets the right message.
  • Shown on the visual and early in the caption, not hidden at the end.

Six flows to copy

1. Booking link (salons, clinics, studios)

Trigger: BOOK on all posts. Public reply: "Check your DMs!" DM: "Hi! Here is the link to book: [link]. You can see this week's free times there. Any questions, just reply here." See the beauty salon playbook for more keyword ideas.

2. Price list (any service business)

Trigger: PRICE on all posts. DM: "Thanks for asking! Our current prices are here: [link]. Not sure which service fits? Tell me what you have in mind and I will help."

3. Free guide or checklist (coaches, consultants)

Trigger: GUIDE on one carousel that teases the guide. DM: "Here is the guide: [link]. Page 2 is the part most people find useful first." Read the coaches playbook for honest claim rules.

4. Menu and reservation (restaurants, cafes)

Trigger: MENU on all posts, TABLE on weekend posts. DM: "Here is this week's menu: [link]. To reserve a table, use [link] or reply with the day and number of people." More in the restaurant playbook.

5. Consultation request (med spas, dentists, real estate)

Trigger: CONSULT or VALUE on one post. DM: "Happy to help. You can book a free consultation here: [link]. If you prefer, reply with your question and our team will answer during opening hours." Keep health and price claims careful; see the med spa playbook.

6. Launch or waitlist

Trigger: SPOT on the announcement Reel. DM: "You are on the list! Sign up here to save your place: [link]. We will only message you here if you reply." Turn the automation off when the launch ends.

Tip: Start with flows 1 or 2. They answer questions people already ask you every week, so they pay off from the first day.

How to write the messages

  • Answer first. The link or information goes in the first two lines. People asked for one thing; give it to them.
  • Sound like you. Use the same tone as your captions. If you say "hey" in person, say it here.
  • One next step. Book, reply, or download. Not all three.
  • Say what happens next. "Reply here and our team answers during opening hours" sets fair expectations.
  • Vary public replies. Write two or three versions so the comments under your post do not all look identical.
  • Keep claims honest. Do not promise results, discounts or availability you cannot guarantee.

Meta's rules in plain words

Comment-to-DM uses a feature Meta calls private replies. According to Meta's Instagram private replies documentation:

  • One message per comment. A business can send one private reply to the person who commented.
  • Within 7 days. The private reply must be sent within 7 days of the comment.
  • Only if they answer. Further messages are possible only after the person responds, inside the standard messaging window.

The Messenger Platform policy overview explains that standard messaging window: for most user actions it lasts 24 hours after the person writes to you. Outside it, sending is limited to specific cases. In practice this means a follow-up only reaches someone who replied, and only within that window. Facebook Pages support private replies to comments in the same way, as described in Meta's Messenger private replies documentation.

What is not allowed: messaging people who only liked a post, messaging followers in bulk, and tools that log in with your password instead of Meta's official connection.

Testing and maintenance checklist

  1. Comment the keyword from a second account and confirm the DM arrives.
  2. Tap every link on a phone. Booking pages must load fast.
  3. Try a variation ("price?", "Price pls") to see if contains matching works.
  4. Check the DM requests folder on the test account; first messages may land there.
  5. Once a week, read the conversations the automation started and answer real questions personally.
  6. When an offer ends, turn its automation off or update the message the same day.

What to measure

Three numbers tell you if a flow works: how many comments triggered it, how many DMs were sent, and how many people clicked the link. If triggers are low, the keyword is not visible enough in the post. If clicks are low, the message or the offer needs work. Compare those numbers with real outcomes, such as bookings or replies, once a month, and retire flows that no longer earn their place.

Setting it up in Moonya

Moonya includes comment-to-DM for Instagram and Facebook. You set the keyword (match anywhere in the comment or exactly), the message and link, and whether it watches every post or one post. You can add a public reply with up to three rotating variants, an optional opening message with a button the person taps to get the link, so they answer before the link is sent, and an optional follow-up message. Stats show hits, DMs sent and clicks. When a post automation's call to action asks people to comment a keyword, it can be linked to the matching DM automation, so the post and the flow are created together. The post itself still waits for your approval before it is published.

DM automations by plan: Starter 1, Pro 10, Agency up to 1,000. See pricing or compare with Moonya vs ManyChat.

FAQ

Is Instagram DM automation allowed?

Yes, when it runs through Meta's official messaging API with an approved tool. Meta limits it to one private reply per comment, sent within 7 days, and further messages only if the person answers.

Can I send automated DMs to new followers?

Not as a cold message. Automated messages respond to something the person did, such as commenting a keyword or messaging you first. Messaging people who did not contact you is not allowed.

What is the best keyword for comment-to-DM?

A short, unusual word linked to one offer, such as BOOK, PRICE, MENU or GUIDE. Show it on the visual and early in the caption.

Can I send a follow-up message automatically?

Only within Meta's rules: after the person replies, inside the standard messaging window, which is 24 hours for most user actions. Do not plan flows that rely on messaging people who never answered.

Does DM automation work on Reels?

Yes. Comment triggers work on Reels the same way as on feed posts, and Reels are often where keyword calls to action get the most comments.

How many DM automations do I need?

Start with one or two for the questions you get most, like prices or booking. Add campaign flows only when you run a specific offer. Moonya includes 1 on Starter, 10 on Pro and up to 1,000 on Agency.
